Things you should avoid in order to ensure a successful meeting

  • Don’t have everyone sitting together around a common screen. One of the great things about ZOOM and similar apps is the audience does not have to all be assembled in one common meeting room. They can be at different locations all over the world! Take advantage of this. Don’t just invite your neighbors. Cast a wide net to others that you know elsewhere. The meeting is much more difficult to manage when everyone is huddled around a single screen. So, it’s best to avoid this. Multiple attendees can be in the same room, but the ideal situation is for everyone to have their own screen. No more than two people should share a screen.
  • Don’t have a simultaneous pot-luck dinner or similar social activity. Whenever food is involved, people tend to focus their attention on it, rather than on the speaker. If you want to have a social activity, plan it for after the virtual meeting.
  • Be clear about the meeting’s policy and stick to it. You want the meeting to proceed in a smooth and orderly fashion. There are many ways to manage a virtual meeting.
